Job Responsibilities :

We are looking to hire an executive secretary with exceptional administrative and clerical skills. Executive secretaries are expected to multi-task and work well under pressure in a fast-paced environment.
To ensure success, executive secretaries should be organized, have superb research skills, and must be exceptional communicators with a keen interest in providing reliable and accurate support to executives and management while working with confidential information. Top candidates will possess incredible problem solving and office coordination skills and exhibit excellent time management.

Summary

We are seeking a detail-oriented and proactive Administrative Specialist to provide comprehensive administrative and clerical support to executives and management. The ideal candidate is highly organized, able to multitask effectively in a fast-paced environment and demonstrates strong communication and problem-solving skills. This role requires discretion in handling confidential information, excellent time management, and the ability to coordinate office operations efficiently to ensure smooth daily functioning

Essential Duties and Responsibilities

· Manage and maintain executive’s calendar including scheduling appointments, board meetings, conference and other engagements.

· Attend meetings as required and accurately record and distribute meeting minutes.

· Receive, screen and redirect phone calls appropriately.

· Manage and prioritize all incoming and outgoing correspondence (emails, letters, courier packages via DHL, FedEx etc.)

· Arrange travel for executives, including booking flights and accommodation, managing itineraries and processing expense reimbursements.

· Coordinate and manage visa applications and related documentation for executives.

· Handle confidential documents and ensure secure record-keeping.

· Prepare and process office related expenses documents (utilities such as water bills, electricity, telephone, pest control, hygiene services, photocopier, water purifier, air purifier, courier service etc.)

· Monitor office supply inventory and negotiate with suppliers to ensure cost-effective purchasing and favorable terms.

· Maintain and organize electronic and physical filing systems to ensure easy access to information.

Conduct screening and selection suppliers/vendors; prepare analysis reports and presentations as assigned

· Demonstrate excellent time management skills with the ability to multi-task and prioritize effectively under tight deadlines.

· Any other ad-hoc duties assigned by Management.

Pre-Requisites :

Requirements and skills

· Preferably have more than 3 years of experience as an executive assistant or in a similar senior executive support will be considered an advantage.

· Bachelor’s degree in Business Administration or related field.

· Proven experience as Administrative Specialist or in a similar administrative role.

· High level of discretion with ability to handle confidential information.

· Strong organizational, coordination and time-management skills.

· Excellent verbal and written communication skills in English.

· Proficient in Microsoft Office applications (Word, Excel, PowerPoint, Outlook).

· Familiarity with back-office software (e.g. EPR) & office management processes is an added advantage.

· Strong communication and negotiation abilities.

· Ability to work independently and collaboratively in a team environment.
