We are looking for a professional, organized, and service-oriented Receptionist to join our video game studio in Montreal. This part-time position covers three days a week and plays a key role in welcoming guests, internal coordination, safety, and the smooth operation of our facilities.


Main Responsibilities:

  • Welcome visitors and notify team members of their arrival.
  • Handle phone calls: screen, transfer, and take messages.
  • Book meeting rooms upon employee request.
  • Ensure the cleanliness of the studio overall and follow up on maintenance requests: report technical or maintenance issues, coordinate interventions with vendors or internal teams, and ensure timely resolution.
  • Ensure meeting rooms are available and functional: check equipment, organize spaces, and report any maintenance needs.
  • Have visitors sign required documents (NDAs, image rights).
  • Keep databases up to date (e.g., visitor log, employee directory, etc.).
  • Receive, sort, and distribute mail and packages.
  • Manage outgoing mail and packages: prepare shipments, coordinate with courier services, and ensure tracking and traceability.
  • Maintain inventory and purchase office supplies and various items for the kitchen, meeting rooms, game room, and any other area requiring replenishment.
  • Enforce security procedures and manage access (visitor badges, temporary employees, service providers, etc.).
  • Keep the reception and boutique area clean, safe, and compliant with internal standards.
  • Actively contribute to safety prevention: identify risks, follow safety instructions, and collaborate with internal teams to ensure a safe work environment.
  • Serve as floor warden during evacuations: coordinate evacuation procedures, ensure the safety of individuals, and liaise with internal managers and emergency services if needed.
  • Assist the administrative coordinator with event planning, studio decoration, and other tasks as needed.
  • Support the purchasing process: assist in gathering needs.
  • Help organize business trips: assist with booking transportation and accommodations, prepare necessary documents, and coordinate logistics.
  • Collaborate with the coordinator to act as a point of contact for employees.
  • Assist management with any administrative tasks or projects as needed.

Part-Time (24h/week) Working Days: Tuesday, Wednesday, and Thursday
