Position Summary:

As a member of Student Life and Leadership, the Student Union Event Coordinator will work in conjunction with the Assistant Director of Student Union and Campus Programming to provide oversight to facilities reservations, event coordination, cash handling, inventory control and overall operations of the Student Union.

Duties:

Facility Reservations & Event Management

Oversee the planning, scheduling, coordination, and billing for approximately 1,500 events annually held in the Student Union in the following spaces: Student Union Cafeteria, Student Union Den, Lyla Richards Conference Room, Leadership Lab, Hallway Fairs and ESPORTS Lounge (opening Fall 2019). Responsibilities include: maintaining contact with internal and external clients, managing event contracts, scheduling and hosting pre-event meetings with clients, and working with the Fiscal Coordinator on final billing for clients. Assist in the planning and implementation of the annual Crafts Fair held in the Student Union. Work in coordination with the Assistant Director and Student Union student managers on set-up, event needs, such as audio-visual and technology, and customer satisfaction.

Work flexible hours to ensure support to programming and events in the Student Union. This includes nights and weekends.

Cash Handling & Inventory Management

In coordination with the Assistant Director and Fiscal Coordinator, monitor and verify daily deposits for the Student Union. Assist with reconciliation of Information Desk and Union Station daily sales. Participate in daily deposit delivery to the University Center. Responsible for the management of inventory and purchasing of sundry items sold at the Information Desk and Union Station. Assist with the inventory and outdoor gear rental from the Student Union Gear Room.

Student Union Operations

Work in conjunction with the Assistant Director of Student Union and Campus Programming and the Student Union Graduate Assistant to provide operational support, event management and staff supervision for the Student Union. Assist in the opening of the newly created ESPORTS Lounge.

Other Duties As Assigned

Other duties as determined based on departmental need and capacity.

Knowledge, Skills and Abilities

Customer service skills; Ability to organize and prioritize; Understanding of university policies and procedures; experience with facilities scheduling and logistical coordination. Computer competency. Willingness to learn and adapt to a fast paced environment. Knowledge of marketing and promotions; ability to work 1-on-1 with clients. Inventory management experience. Program planning experience. Ability to work nights and weekends as needed.

Required Experience

Strong emphasis on customer service; Ability to manage facilities and meet timely deadlines. Ability to work in a team and communicate effectively with peers and clients.

Valid Drivers License required.

Typical Education or Training

High School graduation and two years office/administrative experience, or an equivalent combination of training and experience.
