JOB DESCRIPTION

On Being a Production Coordinator Intern at Ubisoft Toronto

As a Production Coordinator Intern you are responsible for supporting the production team with respect to team members, material, logistical, communication, organizational, scheduling and other follow-up needs.

Type of Position: full-time, paid internship.

Length of Internship: 4-8 months; Minimum of 4 months required

Start Time: May 2022

Location: Toronto - Hybrid (Remote & In-Studio), must reside in Ontario

The Daily Life of Production Coordinator Intern at Ubisoft Toronto:

  • Ensure that the various planning, communication and tracking tools are properly implemented and updated;
  • Responsible for putting together documentation packages required to go through all the approval & certification process phases with first parties;
  • Follow-up with the managers and update the staffing plans for the project team;
  • Follow-up with the managers and update the project budget and track expenses;
  • Coordinate and create the means required to ensure the proper flow of information throughout the project (e.g. newsletters, mailing lists, etc.);
  • Organize the team meetings or other types of meetings whenever necessary to keep the team updated with the status of the project;
  • Keep the various project organization tools up to date(including project organization flowcharts and timelines);
  • Manage certain aspects of production and special projects (e.g. organize playtests, obtain age ratings certificates, follow-up on legal questions & approvals etc.) whenever necessary;
  • Coordinate the travel needs of project team members;
  • Manage the inventory and coordinate technological support for the production team (e.g. printers, test/dev kits, computers, screens, TVs, software, etc.);
  • Setup and manage floor plans & seating organization when work teams are moved, merged and/or restructured;
  • Coordinate, place and follow-up on project-related external orders (e.g. material, food, posters, gifts, etc.);
  • See that new employees are properly integrated;
  • Carry out all other related tasks.

What it takes to make it

  • 0-3 years of relevant experience in a similar position, as a multimedia project coordinator or any other relevant internship or professional experience;
  • Extensive knowledge of the Microsoft suite: Excel, Word and PowerPoint;
  • Knowledge of project management tools like Jira, MS Project and Confluence an asset;
  • Excellent presentation, organization, time management, and cross-department communication skills;
  • Ability to quickly adapt to change and work effectively under pressure;
  • Strong negotiation, mediation and conflict resolution skills;
  • Self-disciplined and proactive approach to work.
