Summary:

The Sr. Manager, Operations is responsible for leading the business operations team and overseeing and managing day to day operations including but not limited to New Account Set-up, Order Management & Fulfillment, EDI Administration, Warehouse & Logistics Management, MTTs, RMAs, month-end close process, employee training and development, employee schedules, User Acceptance Training, SAP Point of Contact, participating in special projects, maintaining inventory integrity between SAP and vendor partners’ systems, account management, developing, maintaining, and analyzing operational reports and devising ways to optimize business operations processes and procedures and achieve cost savings.

Responsibilities:

  • Plans and oversees strategic, operational, and administrative programs, projects, and/or services of broad significance to the organization within Operations.
  • Establishes, implements, and drives results for short and long-range organizational goals, objectives, strategic plans, policies, and operating procedures.
  • Monitors and evaluates operational effectiveness, and effects changes required for improvement.
  • Provides strategic advice and recommendations to leadership in the development, implementation, and evaluation of new or modified operating policies, practices, and procedures within Operations.
  • Build, maintain and promote positive and productive relationships with internal and external contacts as required to manage the day-to-day operations business.
  • Analyzes, designs, documents, and implements internal reporting systems and standard operating procedures for Operations and maintains current SOP documentation.
  • Designs, coordinates, and implements training programs for personnel within the organization and its components regarding Operational policies and procedures.
  • Manages and/or provides day-to-day leadership to various technical, professional, and/or administrative personnel engaged in day-to-day responsibilities or specified project activities, as appropriate to the position.
  • May represent the organization to governmental agencies, auditors, national organizations; may represent Operations at various business meetings, as assigned.
  • Identify and participate in the development of new tools to assist with improving the effectiveness of RUSA operations, streamlining processes, and achieving cost savings goals.
  • Participates in inventory automation of systems projects between SAP and 3PLs.
  • Identifies process gaps, opportunities to increase productivity, and makes recommendations as required.
  • Manages chargebacks and ensure research and resolution is achieved within deadlines, conduct root-cause analysis and identify/suggest areas for improvement.
  • Participates in contract negotiation for all business operations vendors.
  • Participates in annual Freight Forwarding RFQs.
  • Monitor and ensure all regulatory compliance requirements impacting operations in coordination with Legal, and all Federal and State laws are current and met prior to deadlines.
  • Facilitates and manage Duty Drawback program.
  • Facilitates and manage First Sale For Export program.
  • Leads all internal and external audits related to Operations and ensure required information is provided in a timely manner.
  • Assists in leading periodic physical inventories, cycle counts, and audits.
  • Travel required up to 20% of the time.

Qualifications:

  • BA/BS degree in Business or equivalent combination of experience/education is required.
  • A minimum of 10 years of experience in a combination of the following: order management, account management, inventory management, project management, program implementation, business analytics, and report writing.
  • Must have intermediate level of knowledge of Microsoft Office software including Word, Excel, PowerPoint, Teams, and other file-sharing utilities.
  • Must have an intermediate level of Excel experience with the ability to create formulas, pivot tables, and v-lookups.
  • Basic level of experience with Power Pivots in Excel is a plus.
  • Must have extensive experience with SAP.
  • A minimum of 5 years of experience managing a team of at least 2; including guiding, mentoring, delivering feedback, conducting performance reviews/evaluations, performance management.
  • Must possess strong analytical, logistics, order management, project management, business management, report writing, oral and written presentation skills including command of relevant technical information.
  • Ability to interface, negotiate and collaborate with internal teams and external customers, as required.
