Role Overview:

To supervise the front reception at Napier Court initially, followed by Echo Place (Brand New Office) once we move to the City Centre. To ensure that callers and visitors to SIEE are received in the appropriate manner and provide full reception and administrative support to Visitors and Guests.

To support the Facilities Manager and Coordinator in their roles to manage and maintain the day to day operations of the building.

What you’ll be doing:

  • Responsible for the swift and accurate routing of calls into reception.
    • Announcing and managing all calls and enquiries.
  • Receive all visitors and ensure they are comfortable.
    • Keep a record of all visitors and contractors to site and issue temporary passes.
    • Ensure all passes are collected at the end of the day.
  • Outgoing and Incoming Package Distribution:
    • Sign for and distribute accordingly.
    • Keep accurate records for tracking incoming packages.
    • Liaise with courier companies to ensure safe arrival of packages to their destination.
  • Courier and bike bookings for package delivery.
  • Responsible for all meeting room bookings and ensuring catering arrives on time.
  • Assisting Facilities team with any administrative tasks and project work as required.
  • Ensure Magazine subscriptions are up to date. Request magazine renewals and distribute.
  • Keep reception diary up-to-date and accurate.
  • Ensure delivery of fresh flowers to reception and arrange bouquets for clients.
  • Update Reception guide as and when required.
  • Promote Covid-19 safety protocols and ensure that these are strictly followed.
  • Management of Facilities Helpdesk and mailbox.
  • Organise staff inductions and issuing of access cards for new starters.
  • Work with Accounts to ensure annual Purchase Orders are in place and up to date.

  • Able to communicate effectively with all levels of staff, both verbally and written
  • Good IT skills including Microsoft Office (especially Excel & Power Point)
  • Ability to work under own initiative
  • Excellent telephone manner
