GumGum is looking for a vibrant, enthusiastic, and diligent Office Manager for our New York office.

This role requires excellent organizational / multitasking skills and strong communication skills. We are looking for a self-starter with a friendly, positive attitude. This role comes with a degree of autonomy, so you must be a great independent problem-solver. The Office Manager is the face of the New York office and serves as a resource of knowledge and support for each department within the office. Our ideal candidate is someone who is highly organized, loquacious, outgoing, loves working with people and understands the dynamics of a fast-paced startup environment.

This position reports to the Facilities Manager and the Sr Manager Employee Experience and Engagement.

Responsibilities

Office Operations

  • Maintain and organize office including storage rooms, kitchen and conference rooms
  • Order and stock weekly office and kitchen supplies
  • Maintain vendor relationships and contacts
  • Work closely with the IT team in LA to provide tech support to new hires/current employees
  • Work with building management regarding office maintenance and repairs
  • Administer all incoming and outgoing deliveries/mail
  • Reconcile Office Manager credit card expenses and submit for approval
  • Keep office organized and tidy

People Operations

  • Coordinate with the HR team to schedule onsite interviews and meetings
  • Facilitate internal employee visits; Greet visitors, vendors, and potential new hires
  • Welcome new hires and lead the on-boarding process

Events

  • Coordinate office social events such as happy hours, birthdays, and holiday celebrations
  • Help facilitate GumGum University, GumGum Fit, and GumGum Gives Back events
  • Help with setup, breakdown, and general facilitation of marketing/client events

VP Level Support

  • Assist with scheduling internal and external meetings for VPs/ Executives
  • Input and process VPs/ Executive level expenses
  • Meet weekly with VPs/Executive leadership team to uphold status and function of office

Minimum Requirements

  • BA/BS degree preferred
  • New graduate to 1 year of experience
  • Experience working in an office admin capacity
  • Strong desire to work within advertising and/or tech
  • Excellent communication skills
  • Positive, friendly, and outgoing personality
  • Proactive and self-motivated
  • Ability to go above and beyond the role
  • Knowledge of Apple computers and Gmail

Preferred Qualifications

  • Experience working for a startup or small company is a plus
