You will be responsible for:

  • Supporting all office and administrative needs including some travel, calendar management, and ordering lunches/breakfast as needed.
  • Ensuring the office space, furniture, and conference rooms are organized and clean.
  • Being the main point of contact for reception and greeting employees/guests/vendors.
  • Supporting building management activities such as building access for employees, vendors, key card maintenance, loading dock access for deliveries, point of contact for emergency fire/safety.
  • Tracking facilities maintenance issues and repairs on premises.
  • Conference room/meeting management – prepare rooms for meetings, setup zoom calls, minor A/V setup and management as needed.
  • Vendor management – ordering kitchen and office supplies, inventory management and maintaining relationships with firms.
  • Understanding priorities, as well as short-term strategies and lay out a plan of how and when to tackle.

You'll gain loads of experience in this role, but before you do you should have:

  • A college degree - preferred but not required, along with 3+ years of relevant experience, including office management/facilities experience.
  • Proficiency in Microsoft Office software (Outlook, Word, Excel, etc.).
  • The ability to lift and maneuver up to 50 pounds.
  • Strong attention to detail, loves organization, and has great follow-through skills.
  • A positive attitude at all times, even under stressful conditions.
  • Great communication skills and you are comfortable interacting with a diverse employee base.
  • The flexibility to adjust processes and resources to meet changing requirements.
  • The ability to multi-task in a fast-paced environment and work well with limited supervision.
  • Thick skin, are very resilient, and know when not to take things personally.
