Job Description

As the PCO, you are responsible to support the Project Managers in delivering the Enterprise Data (ED) Project Portfolio within the IT department at Ubisoft. You will advise Project Managers to plan and track their projects and programs and will proactively suggest ideas and areas of improvements. You will help the managers monitor and produce budgets and forecasts (financial and resources). As the PCO, you will also lead small projects and represent the project in the absence of the project manager or as needed.

Responsibilities:

  • Assist Project Managers with the project initiation process by collaborating on the production of the project charter, project creation, work breakdown structure (WBS), and overall project setup;
  • Assist Project Managers to ensure that project tasks, timelines, risks and issue logs, documents and signoffs are on track and up to date;
  • Ensure PMO governance rules are applied when monitoring and defining project budget/forecast, analyze variances and propose measures to optimize spending, and update estimate to complete (ETC) for each project;
  • Prepare reports and follow-ups (project reviews, action item follow-ups, dashboards, close-out, etc.) and present them to various management meetings, team meetings and for project stakeholders;
  • Coordinate communication with the IT Project Management community and help identify any needs and issues;
  • Support processes and documentation activities, and improve PMO systems, processes and tools, as well as develop project management templates in a shared knowledge base;
  • Maintain collaboration tools such as Jira, Confluence, Sharepoint, Teams, Org charts, etc.

This position may require travelling overseas occasionally.

Qualifications

Relevant Experience

  • 3+ years of work experience in coordinating projects (e.g. project administration, PMO support, Project Portfolio organization), ideally in a PMO environment.

Education

  • Bachelor’s degree in Computer Science;
  • CAPM or PMP certification an asset.

Skills & Knowledge

  • Solid experience with detailed project planning and project budgets;
  • Excellent knowledge of MS Project, Excel and PowerPoint;
  • Experience supporting a PPM system an asset;
  • Excellent communication and organization skills with attention to detail;
  • Leadership mindset that portrays initiative and autonomy;
  • Dynamic and collaborates well with cross-functional and technically focused teams;
  • Proactive mindset with an ability to deliver under pressure;
  • Bilingual (French/English) is required both orally and written.
