Position Overview

As the Human Resource Assistant and Executive Support, you will wear multiple hats while supporting the Human Resources Department along with the Chief Executive Officer, covering a variety of administrative tasks. In this role you will play an important part in helping us achieve our goals. You are reliable, tech-savvy, fun and enjoy working on multitasking. While SideFX is implementing a hybrid working arrangement, due to the nature and responsibilities of this role, you will be required to be on-site at our Toronto office every day.

Key Duties and Responsibilities

Record Maintenance and HRIS

  • Collaborate with HR Managers to create new hire profiles in the HRIS (BambooHR) and physical files
  • Maintain, update and safeguard employee records, in the HRIS, shared drive and physical files

Benefits Administration

  • Assist with employee enrollment and profile updating
  • Assist with benefit invoice processing and journal entries for accounting
  • Reply to, or redirect benefit inquiries as appropriate

Recruitment

  • Work closely with HR and hiring managers to post job openings
  • Schedule candidate interviews throughout the recruitment process
  • Assist with offer letter preparation and Amendment to Terms letters as required
  • Conduct reference checks

Onboarding, Orientation and Off-boarding

  • Send out onboarding HRIS package for new hires and collect necessary documentation and forms
  • Prepare and mail new employee welcome packages
  • Participate in office tours for new hires
  • Set up, track and process invoices for new hire mandatory training
  • Liaise with IT, Payroll and other necessary departments to ensure new hires are set up and departing employees off-boarded adequately

Training, Joint Health & Safety Committee (JHSC), Other

  • Participate in the JHSC as required, including meeting scheduling, minute taking and distribution, certification tracking and scheduling training
  • Assist with HR related documentation filing, including suggesting improvement to current processes
  • Maintain and monitor the general HR inboxes, mail, and internal website.
  • Collaborate with HR VP and Managers to schedule training and distribute necessary materials
  • Participate in the decision making, purchasing, preparation and mailing of employee send outs
  • Complete employment verification requests
  • Assist with compliance in all relevant geographic locations SideFX operates in (I.E. Poster Guard)
  • Other duties as assigned

COVID-19 Related Duties

  • Track and maintain employee vaccination status, as required, and ensure information is safeguarded
  • Monitor and maintain COVID-19 daily health screenings for employees working from the office
  • Ensure all visitors complete the appropriate COVID health and safety protocols

Executive Support

  • Organize and maintain required documents both online and physical
  • Manage ad-hoc administrative requests made by the CEO
  • Schedule and set up meetings and events for the CEO as required
  • Take minutes at the Senior Team and Performance and Compensation Committee (PCC) meetings as required
  • Assist with Senior Team member’s travel booking

Reception

  • Greet, assist and direct all visitors, in person or on the telephone; answering or referring inquires as appropriate
  • Ensure main lobby is kept safe, welcoming, and organized
  • Pick up and distribute office mail
  • Maintain the kitchens and ensure they are stocked with all required supplies

Requirements

  • Post secondary degree or certification is strongly preferred, or equivalent experience
  • Experience working with highly confidential information with a natural instinct to safeguard sensitive information
  • Experience dealing with senior executives
  • Proven ability to exercise judgment when dealing with confidential or sensitive issues
  • Ability to work well independently and in a nimble team environment
  • Tech savvy, with the ability to learn new software and technologies, and document processes
  • Friendly and easy going with a good sense of humor
  • Advanced knowledge of Microsoft Office Suite, including VLOOKUP, Pivot tables and mail merges
  • Flexible, with the ability to shift priorities quickly
  • Strong organization skills with attention to detail
  • Excellent oral and written communication skills

Bonus Skills

  • Experience using G Suite would be considered a strong asset
  • A Certification in HR
  • Previous working experience with BambooHR or Lattice
