As an Executive Assistant you will handle the daily management of complex work-flow, including: relationship management, schedule oversight, F+B planning for meetings, heavy calendaring and coordination of travel, essential business matters and strategic projects. You will ensure that the executive has awareness around pressing business updates and priorities promptly.

As the Executive Assistant on the Consumer Products team (CP) you will report into the Head of Global Merchandise and Licensing. In addition to the above responsibilities you will craft necessary communications to all partners on behalf of the CP team. You'll proactively identify situations that could affect the success of the CP Team’s commitments. Your work will help support a thoughtful and high-functioning team.

Responsibilities

  • Manage daily logistics for the CP team by performing tasks including such as supporting CP projects with team partner meetings, scheduling domestic and international travel, and expense reports
  • Create meeting notes/documentation; track action items and update visualization boards / work tracker
  • Supporting the teams administrative needs such as maintaining the teams documentation, roster, email groups, slack channels and out-of-office calendar
  • Coordinate and manage the budget for team health and celebratory events under the direction of CP Leadership
  • Assist CP Leadership with compiling data for monthly presentation and newsletters, while looking for ways to improve communication between leadership and the team.
  • Daily comms, supplies, scheduling, invoice and payment follow up; support contract negotiations with vendors

Required Qualifications

  • 3+ years of supporting executive leadership as an Executive Assistant
  • 5+ years as an Executive Assistant supporting leaders
  • Google Suite expert

Desired Qualifications

  • Experience with vendor management, such as daily comms, supplies, scheduling, invoice and payment follow up; support contract negotiations
  • Organizational agility with executive & business acumen
  • Project management skills a plus
