Facilities Coordinator

This position is responsible for coordinating daily facility operations and maintenance and to help ensure that this site is compliant with all local laws and legislation. Provides proactive solutions to facility related issues and problems. To help maintain a safe and comfortable working environment for all staff and visitors. Maintain, vendors, building services and site operational activities for King and other locations as and when required.

Responsibilities

  • Manage general facilities tasks, completing jobs where appropriate or assigning to the appropriate supplier, or staff member for action. Keeping logs and reports, as required to monitor Service Level Agreements of suppliers.
  • Coordinate and perform regularly daily facility walk through and document condition for compliance. Complete any remedial actions.
  • Move furniture and appliances using appropriate equipment.
  • Perform furniture reconfigurations and assist with setting up tables and chairs for presentations.
  • Coordinate services and planned maintenance visits with various vendors. Track completion of maintenance schedules provided by supplier/s.
  • Daily checks of admin hubs to ensure supplies are refilled.
  • Place general maintenance calls to landlord and coordinate, monitor, and follow up with all building related matters.
  • Maintain Facilities storage room and track inventory of spares and supplies.
  • Perform conference room maintenance and ensure they are clean, stocked and cleared of confidential information regularly (flipcharts etc.).
  • Coordinate an remedial actions from DSE workstation assessments for H&S compliance.
  • Carry out handyman and repair duties where capable, or coordinate for external handyman to complete if specialist skills or equipment is required.
  • General errands for PA’s and all staff, follow up from emails on Helpdesk.
  • Coordinate archiving for all departments to keep documents secure and traceable. Update archiving register and publish accordingly.
  • Provide spare keys or replacement locks as required. Maintain stock of spares.
  • Work with security for any new passes to new staff, and temporary passes for visitors or suppliers and enter in Envoy. Report on any non- compliance of security procedures.
  • Always Keeping office equipment operational, such as photocopiers, binding machines and presentation equipment, clocks, consoles in reception and games lounge. Includes monthly meter readings for suppliers.
  • Provide ad- hoc cover as required on reception.
  • Managing Employee Store orders and log (required for payroll).
  • Assist Workplace Manager with larger projects and ad hoc duties as required.
  • Operational Tasks – Managing workplace Jira Service tickets
  • PO requisition/Receipting
  • Upkeep and oversight of facilities – shower rooms, bike stores, game areas and meeting rooms
  • Kitchen - Ensuring the kitchen areas are fully functioning, including coffee machines and breakfast layout
  • Multifunctional devices, checking all printers are operating correctly
  • Asset tagging
  • Weekly working from home engagement- Quizzes and Games
  • Occupancy and churn – assisting with new starters, desk setups, SIM management via supplier portal and Mirador management
  • Leavers – SIM management via supplier portal and Mirador management
  • Events Management – working alongside the events team with organization and set ups
  • Bike Store – Management of lockers

Experience

  • Extensive experience in office management or Facilities management

Knowledge & Skills

  • PC skills, including basic MS Excel, Word, and PowerPoint
  • Excellent collaborator, capable of working with others to find solutions to complex problems and shared goals with and without authority.
  • Member of IWFM / IOSH Certificate Managing Safety
  • Qualification in Facilities
  • Personable and collaborative with a track record of working successfully across teams
  • Demonstrated ability to deploy and maintain a consistently high quality of service at a scale.
