Position Summary

The Operations Business Partner is as much a people person as a systems person, integral to cultivating company culture and supporting managements long term strategy. Often the face of the studio environment, they interact with visitors, customers, clients, and employees at every level, every day, for multiple studios. The Operations Business Partner position demands stellar organizational skills, efficiency, and a personable attitude. Day-to-day, this person ensures operations run smoothly by doing everything from delivering value-added service to management and employees that reflect the business objectives of the studio. You'll assist across multiple areas of the studio, supporting the goals of the business through the success of its people. This is a professional-level position with a significant opportunity to contribute to the studio operations and peopleโ€™s success.

What you'll do:

This list is not intended to detail all aspects of the assigned work but is representative of the job's overall responsibilities.

AP

  • Organize digital invoices and all credit card related data to upload to Regional Finance

  • Review invoices for any unusual trends

  • Maintain vendor portals-pay certain vendors through their portal

  • Manage vendor inquires as needed

  • Compile and process 1099s annually

AR

  • Prepare invoices and send to the Regional AR Team to create

  • Compile QuickBooks time data for each customer

  • Analyze data to prepare invoice within contract terms

  • Upload customer invoices from NetSuite through customer portals

Payroll

  • Prepare bi-weekly payroll

  • Prepare time off used from Bamboo report

  • Prepare payroll reports using QuickBooks Time data

  • New Hire / Termination calculations

  • Review and submit expense reimbursements to payroll

Studio Finance

  • Prepare various accruals and schedules - upload to the Finance analyst

  • Update project cost tracking Excel files and compare to project budget

  • Track and analyze actual amounts spent vs budget for certain operating expense accounts

  • Assist and prepare project budgets

  • Assist and prepare annual studio budget

  • Other studio finance projects as needed

Studio Operations

  • Studio-level onboarding to new hires

  • Studio-level communication of studio items outside of HR

  • Maintain Bamboo employee data including onboarding and offboarding

  • Maintain HVS Bucks database and process redemptions to gift cards as requested

  • Prepare budgets for company events

  • Other operational projects as needed

Who you are:

  • A strong background in accounting or finance with a high level of attention to detail.

  • Provide quality and reliable support to company operations, maintaining and create procedures, communication, and safety.

  • Be an energetic professional who doesn't mind wearing multiple hats.

  • Experienced in handling a wide range of business and executive support-related tasks, while working independently with little or no supervision.

  • Well organized and enjoys the business operations challenges of supporting an office of diverse people.

  • Able to handle confidential matters, understanding the various employment laws and regulations.

  • Trustworthy and engaging attitude with the ability to transmit that energy

  • Strong adherence to values of inclusion and diversity in the workplace

  • Proficient in Microsoft office suite including (Outlook, Word, Excel, PowerPoint, and Publisher), as well as have a technical aptitude for learning new tools on the job.

  • Intermediate knowledge of accounting, payment, and invoice processing

  • Able to handle competing priorities and deadlines effectively and respond well to last-minute, high-priority, and time-sensitive projects.

What you bring:

  • Bachelorโ€™s Degree in Finance or Accounting

  • 7-10 years of previous experience

  • Accounting background highly preferred
