Workforce Administrator
Testronic is looking for a Workforce Administrator to join our Resource Management team. In this role, you will provide administrative and coordination support for workforce allocation, seating arrangements, staff scheduling, and employee movements.
You will help ensure that employee and resource information is accurate and up to date across internal systems, while coordinating requests related to new hires, employee movements, resignations, and project staffing.
This is a hands-on administrative role that requires strong organization, attention to detail, and the ability to manage multiple requests in a fast-paced environment.
RESPONSIBILITIES:
New Hire Coordination
- Process and track resource requests for new hires.
- Coordinate seat and workstation allocation for new employees.
- Identify and record the immediate reporting manager for new hires.
- Prepare and distribute new hire announcements to relevant teams.
- Prepare and send new hire schedules and ensure information is communicated to the appropriate stakeholders.
Employee Movement Coordination
- Process and track workstation movement requests when employees move between teams or projects.
- Coordinate workstation change requests with relevant teams.
- Update the IT Preparation System with employee and workstation changes.
- Ensure seating and resource information remains accurate and up to date.
Resignation & Backfill Support
- Process and send backfill resource request emails following employee resignations.
- Coordinate workstation movements when required as part of employee transitions.
- Update relevant resource and seating records following employee changes.
Staff Scheduling & Resource Tracking
- Maintain and regularly update Staff Schedule and Daily Status Report (DSR) forms.
- Create staff schedules and DSR forms for new projects and clients.
- Provide basic guidance to new Project Leads on the use of scheduling and reporting forms.
- Maintain accurate resource information in trackers and internal systems.
- Support the Resource Management team with administrative and ad hoc requests as required.
- Previous experience in an administrative, coordination, HR, resource management, or similar role is an advantage.
- Strong organizational and administrative skills.
- Excellent attention to detail and accuracy.
- Good written and verbal communication skills.
- Ability to manage multiple requests and deadlines at the same time.
- Comfortable working with spreadsheets, trackers, and internal systems.
- Good Microsoft Office skills, particularly Excel.
- Ability to work independently while collaborating effectively with different teams.
- Previous experience in a fast-paced or operational environment is a plus.
