Job Description
Gameloft Montreal is looking for an Office Coordinator to help with the day-to-day management of reception and to energize life at the studio.
They will work in close collaboration with the communications department and various other departments (purchasing, human resources, IT and recruitment) to successfully complete their tasks.
The candidate must cultivate positive relationships and foster a sense of community in the studio. For the most part, the Office Administrator plays a crucial role in creating a welcoming and organized work environment, all while facilitating employee engagement and a sense of belonging by means of events and social activities.
Main Responsabilities:
Administrative management of the studio:
Welcome visitors, clients and staff in a warm and professional manner
Help with the onboarding process for new employees
Manage studio visitors (access cards, attendance register, etc.)
Handle incoming calls, emails and correspondence
Coordinate appointments, meetings, and conference room reservations
Process incoming and outgoing mail and packages
Make sure the reception area is clean, organized and presentable
Ensure the inventory of office supplies is well stocked, along with those for the kitchen, conference rooms, game room, and any other room that requires supplies to be replenished
Act as a reference and resource person for all general issues related to studio upkeep (cleaning services, maintenance/work)
Help the various administrative departments, in particular the management at Gameloft Montreal, to accomplish different tasks or projects
Managing life at the studio:
Coordinate events and activities for the studio's employees (for example, Happy Hours, Halloween, etc.)
Take charge of running internal activities (as needed) and provide support for all other required logistical needs (for example: buying gifts)
Research suppliers, locations and entertainment for events
Take charge of decorating the studio according to the various annual celebrations and events, and also the office's permanent decor
Communicate important information or announcements relating to life at the studio (intranet, notices, etc.)
Help to coordinate and communicate team activities
In collaboration with the communications team, actively help with internal communications and updating our intranet site
Qualifications
A minimum of 3 years’ experience in a similar position
Excellent communication and interpersonal skills
Versatility
Organization, problem-solving skills, meticulousness
Motivation to take on new challenges
Ability to manage more than one project at a time (multitasking)
Ability to approach daily tasks rigorously, proactively and autonomously
Ability to move reasonable loads, such as packages and furniture (occasionally)
Knowledge of the Office suite (Outlook, Excel, PowerPoint and Word)
Ability to express yourself in French and English
