Job Description

As an Executive Assistant you'll provide a wide range of administrative and executive support to the Managing Director of Ubisoft China.

You will provide support for MD’s day running effectively and smoothly, ensuring the flow of appointments, be mindful of the clock to ensure that the meetings don’t bleed into the next scheduled task, coordinating the activities and facilitating the communication between studio management team, receiving clients and visitors, arranging travel and correspondence.

Responsibilities

  • Responsible for managing all day-to-day administrative responsibilities for MD.
  • Daily advanced calendaring/planning, act as a thought partner to the MD to strategically align his calendar with the priorities.
  • Coordinate various meetings, meeting preparation, take the minutes when required and follow-up on actions.
  • Build rapport with directs and key cross-functional stakeholders to serve as a catalyst around scheduling and or spontaneous inquiries/requests.
  • Assist and/or own content creation including drafting emails and creating presentations.
  • Maintain databases, trackers, files, update and organize shared drives/files for studio management teams as needed
  • Coordinate travel arrangements: including flights, stay, and building out an itinerary.
  • Act as personal and family assist to MD.

Qualification

  • You have previous experience in similar role &/or industry supporting senior executive(s).
  • You’re highly organized and take pleasure in interacting with employee and partners at all levels within the company.
  • In a fast-paced environment, you have a strong ability to work under pressure while remaining calm, resourceful and flexible, demonstrating a high level of professionalism and efficiency.
  • You are self-aware, well spoken, and eloquent in your written communication. (please prepare a portfolio consisting of your written work and PPT decks as part of selection requirement.)
  • You pay superior attention to details.
