THE CHALLENGE

We are looking for someone to be responsible for all aspects of Workplace and Facilities Management across the T2 New York Corporate Headquarters, managing all support services and building functions, and delivering a 5-star service that consistently provides an amazing experience for all employees.

WHAT YOU’LL TAKE ON

  • Lead New York workplace team to deliver all relevant services to optimum standards at all times.

  • Manage staff: hire, train, and evaluate performance of administrative support services (reception, mail, and building services); lead and motivate staff to achieve high levels of productivity and service while containing expenses.

  • Develop workplace experience programs to create and support a best-in-class workplace for employees.

  • Accountable for office health and safety, ensuring business is compliant in all areas.

  • Provide a positive and welcoming workplace environment for all employees, always seeking to improve standards and innovate workplace offering.

  • Develop relationships across departments, understanding individual business objectives and supporting teams with all workplace-related requests.

  • Responsible for sourcing, arranging and managing relationships with relevant vendors across department.

  • Develop, manage, and forecast department budget; reconcile invoicing from vendors (shipping, office equipment/supplies etc.) and ensure bills are paid in a timely manner.

  • Management of relationship with building landlord, addressing concerns, and ensuring problems are resolved.

  • On-site lead for construction, renovation, and repair projects; conduct facilities/space needs analyses, consult with vendors/architects to plan project timelines, write communications to managers and staff to prepare them for office moves, and manage related budgets.

  • Management of building hard services and operations, working with team to ensure delivery of PPM schedule and upkeep of all office equipment, resolving issues in compliance with proper work methods and regulations.

  • Delivery and upkeep of asset register, ensuring appropriate lifecycle of equipment is maintained.

  • Proactively identify and recommend opportunities that focus on better methods to achieve objectives which may include: process efficiencies, quality improvement, risk mitigation, cost improvements and any other relevant factors that influence workplace effectiveness.

  • Continually evaluate processes and procedures in order to ensure department is meeting needs and goals of the company.

  • Ensure consistent coverage across Workplace department.

WHAT YOU BRING

We are looking for a dynamic individual, with 7+ years in Workplace/Facilities management, and a minimum of 5 years’ experience as a people manager.

GREAT TO HAVE:

  • Outstanding organizational, interpersonal, and written and verbal communication skills.

  • Ability to cultivate positive relationships across the business, including both internal and external partners and vendors

  • Demonstrated project management and problem-solving skills.

  • Good communication skills, both written and verbal.

  • Ability to prioritize multiple commitments and manage expectations for those priorities.

  • Attention to detail, a strong sense of responsibility & accountability, and a drive to excellence.

  • Excellent collaborator, capable of working with others to find solutions to complex problems and leading teams towards shared goals with and without authority.

  • Ability to develop and manage budgets.

  • Ability to interact with vendors and external contacts in a professional manner.

  • Must have the ability to work flexibly in order to respond to changing priorities.

  • Must have the ability to work overtime to accommodate maintenance schedules.

  • Advanced PC skills, including MS Office (Word, Excel, Outlook)

  • Experience on CAD or similar space management software is desired
