What You’ll Take On:

Operations:

  • With support from two Benefits Analysts, manage day-to-day operations and ensure the smooth running of all US benefit plans, programs, and perks including but not limited to medical, dental, vision, HSA, FSA, commuter benefits, life/AD&D, disability, EAP, emotional support, fitness reimbursement, business travel accident, group legal, back-up childcare, and 401(k)
  • Oversee Benefits Analysts’ and vendors’ work with respect to billing, eligibility reporting, contribution files, reconciliations, and audits
  • Ensure that the team responds promptly to questions, complaints, and suggestions from employees and HR Partners
  • Mentor, coach, and foster the professional development of the Benefits Analysts
  • Resolve issues related to plan operations; identify the root cause and establish the necessary controls
  • Lead all components of the annual open enrollment process
  • Implement new programs and plan design changes, including setting up the necessary taxation and financial reporting, defining HRIS requirements, establishing other benefits and payroll processes, testing the benefits configuration in Workday, working with the HR Technology Team to set up or amend integration files, overseeing the setup or changes in vendor systems, and drafting and deploying communications
  • Interpret and communicate benefit plan provisions, policies, and procedures
  • Assist with special projects, such as coordinating the benefit plan rollout with M&A stakeholders
  • Manage broker/consultant and vendor relationships
  • Support Senior Manager, North American Benefits with annual budget process
  • Support and train HR Partners
  • Provide support and backup to Manager, Global Wellbeing
  • Provide support and backup to US Leave Manager with respect to time off and leaves
  • Continuously identify any opportunities for and implement process improvements

Strategy:

  • Keep track of and present to Senior Manager suggestions from HR partners and employees regarding new benefits and plan design changes
  • Actively participate and contribute ideas during key benefits strategy meetings
  • Support Senior Manager with RFPs and the selection of new vendors
  • Make recommendations regarding insourcing and outsourcing various operational functions

Compliance:

  • Ensure compliance with applicable government regulations, required filings, and audits for all US health and welfare and retirement plans such as Form 5500 filings, distribution of Summary Annual Reports, Summary Plan Descriptions, Summaries of Benefits and Coverage, and other required notices
  • Lead annual 401(k) plan audit
  • Lead 1095-C form production and distribution, as well as transmission of data to the IRS
  • Ensure compliance with all data security protocols

What You Bring:

  • Bachelor’s degree and a minimum of 6 years of benefits management experience with large, multi-state employers
  • Knowledge of all federal and state regulations, filing, and compliance requirements related to US employee benefit programs, including ERISA, ACA, COBRA, HIPAA, FMLA, ADA, OSHA, Section 125, Workers’ Compensation, Medicare, Social Security, and DOL requirements
  • Self-starter who effectively plans work, sets priorities and is able to manage several complex projects simultaneously while working under pressure to meet deadlines; priorities can shift, so agility is essential
  • Exceptional high-touch customer service and follow-up skills with strong attention to detail and accuracy
  • Strong analytical, problem-solving, critical thinking, and interpersonal skills
  • Excellent written and verbal and communication skills
  • High level of proficiency with Word, Excel, PowerPoint, and HRIS. Workday experience is preferred.
  • Solid project management experience
  • Experience managing benefits staff
  • Certified Employee Benefits Specialist (CEBS) coursework is preferred
