The role @ Lab42

We are looking for a talented Office Administrator to join our studio; the successful candidate will play a pivotal role in making sure that the day-to-day operational needs of the studio are managed/actioned upon.

To be successful you will have:

  • Previous experience in a similar role
  • Professional attitude with the ability to work in a collaborative environment
  • Excellent communication skills
  • To be a flexible team player and be open to being involved in several operational support activities.
  • Good working knowledge of MS Office Suite, HR Tools and other software used in this type of role.

Your responsibilities will include but not be limited to:

  • Managing all local facilities and office contracts in conjunction with the Group Head of Health & Safety and Facilities
  • Front of house duties including meeting and greeting visitors
  • Monitoring the HR system – recording and monitoring absences
  • Organising internal maintenance and repairs
  • Coordinating meeting rooms for internal and external meetings, setting up refreshments and catering when required
  • Ensuring the office complies with H&S, in conjunction with the group EHS & Facilities Coordinator and organising necessary training
  • Ordering and maintaining wholesale stock, stationery and office supplies
  • Weekly and monthly studio kitchen orders whilst adhering to monthly budgets – restocking and replenishing supplies within the studio and in the kitchen
  • Assisting the Studio Employee Engagement Manager with new starter inductions and on-boarding
  • Managing Purchase Orders, Credit Cards and Expenses as appropriate
  • Booking UK and International travel and accommodation for all staff. Assisting with arrangements for staff travel documents, passport requirements, Visas
  • Supporting Lab42 Studio Director with diary management and other duties as necessary
  • Assisting with organising social events for staff and care packages inline with monthly budgets
  • Processing incoming and outgoing post as required when back in the studio
  • Provide support/cover during staff absences.
