The Workplace Experience Team (WX) at Riot is just that - Rioters' experience in the workplace. We are a diverse group of disciplines focused on how Rioters engage with our workplace. This includes Physical Security for our safety; Facilities Operations for our buildings, maintenance; Food and Events programs for daily engagement; Media Systems for our collaboration, presentations, and entertainment, and Occupancy Planning, to help us understand how we occupy our world, and ways to improve it.

As Workplace Experience Operations Manager, reporting in to the Manager, Development Management, you will support all Workplace Experience scope and all teams. You will navigate Workplace Experience purchases through the holistic purchasing process: vendor setup, contracts, purchase orders, invoices, and payment. You’ll also oversee an annual multi million dollar budget supporting construction, security, AV equipment, corporate events, food services, janitorial, landscaping, pest control, hawk program, secure paper shredding, waste management, grease interceptor cleaning, facilities labor support, and more.

Responsibilities

  • Oversee the ongoing management of Purchase Orders for all Workplace Experience teams and operational services, including Facilities Services, Physical Security, Media Systems, and Occupancy Planning
  • Validate goods and services rendered by vendors meet expectations and if so partners with AP to ensure vendors are paid
  • Track expenses, checks and balances
  • Maintain Workplace Experience purchasing process for all teams
  • Create and submit PVNs and PO’s
  • Partner with vendors to obtain quotes for specialty services and projects requested by Riot.
  • Review quotes for accuracy and submit quotes with supporting documentation for approval by Facilities Manager
  • Track cost modifications to Purchase Orders
  • Meet with Workplace Experience teams to discuss upcoming needs, and with vendor company managers to sync up Purchase Orders with delivery
  • Follow-up on execution and completion of purchase orders for vendors
  • Work with the strategic sourcing team to write and revise scope of work (SOW) and contracts (CRFs) for new vendors and leads requests for proposal (RFP) processes for new services.
  • Update existing Purchase Orders with any new scope requirements and works with the strategic sourcing team to negotiate contract terms and rates with vendors for expanded scope requirements.
  • Assist the director of Workplace Experience to assure that build-out schedules and required deliverables are understood by the vendor
  • Assure that Purchase Orders are modified for new spaces or build outs

Required Qualifications

  • BA, BS, or 4+ years Related Experience
  • Experience using budget software tools such as Coupa, Concur, Excel (can maintain complex spreadsheets), and Google Sheets
  • Experience writing Requests for Proposal and Statements of Work
  • Experience in vendor negotiation
  • Excel in both Written and Spoken Communication with ability to tune Messages for a variety of audiences
  • Comfortable manipulating and analyzing data
  • Comfortable interpreting guidelines and analyzing factual information to adapt or modify processes in response to changing circumstances
  • Comfortable navigating and solving cross-department corporate processes
  • Comfortable operating independently and overcoming obstacles
