Job Description
- Responsible for processing semi-monthly US (multiple states) and Canadian (multi provinces) payroll.
- Manage payroll compliance and taxation by ensuring proper system configurations that meet all provincial, state, and federal payroll legislation and regulations.
- Perform retroactive pay and benefits calculations and apply bonuses and other compensation elements as needed.
- Manage the processing of off-cycle pay and terminations, calculate pro-rated payments, prepare ROEs, and respond to inquiries from government agencies.
- Ensure completion of year-end processes within prescribed government timelines, including annual production and distribution of standard and non-standard tax forms (T4s, T4As, RL-1, T2200, W2s etc.) to ensure they are issued in accordance with the CRA and other regulatory requirements.
- Maintain detailed records and documentation of payroll functions for audit purposes.
- Stay current on the latest regulatory changes with respect to payroll to ensure payroll policy adherence and compliance per province/state.
- Customize and generate HR reports for the HR and Finance departments as needed.
- Partner with finance team to provide payroll & benefit information for financial audits.
- Partner with CPO to liaise with external agencies as needed, including IRS, CRA, Service Canada (ROE Web) etc.
- Partner with Administration Team to process employee expenses each pay period.
- Assess and resolve escalated payroll issues and discrepancies with Payroll & Benefits Lead, and final escalation with CPO.
- Act as the benefits subject matter expert and administer Canadian and US group benefits and retirement plans, employee assistance programs and all other group benefits.
- Leverage internal payroll & benefits team to activate new enrolments, benefits onboarding and offboarding, and for coverage or salary modifications, and terminations.
- Act as the main contact for employees for all US and Canadian benefits-related matters, and work with insurance providers and/or brokers to resolve claims issues.
- In partnership with CPO, and Payroll & Benefits lead, actively participate in the annual renewal review with brokers and communicate renewal changes to employees.
- Review monthly insurance provider invoices for accuracy and forward to accounting for payment.
- Administers employee insurance programs including life, disability, and health insurance plans.
- Administers employee savings plans that may include the company’s 401(k) plan, RRSP, personal savings plans, and deferred compensation programs.
Qualifications
- Five years experience administering compensation or benefits programs required.
- Must speak French fluently.
- Experience administering and maintaining HRMS systems.
