DESCRIPTION OF DUTIES

  • Works closely with Experiential Marketing leadership on highly confidential matters that include supporting annual planning, global event execution (E3) and other department events
  • Provide project support including but not limited to event staffing coordination and communication, developing premiums and giveaways, submitting design requests and routing creative for internal approvals, requesting shipping and materials management support
  • Responsible for creating and updating critical documents, reports and presentations including but not limited to master event calendars, ROI trackers, event recaps, planning binders and software/ hardware tracking sheets across Microsoft Office applications (powerpoint, excel, word, onenote, etc.)
  • Enters requisitions, reconciles invoice backup, tracks project and department budgets, supports Action Memos and follows up with vendors on financial action items
  • Organizes and distributes artwork, copy, video, and other event related materials to appropriate individuals, teams, and agencies
  • Develops, improves and documents new or existing department processes, automation, tools including use of external SaaS tools or internal Information Management Program protocols for sensitive personal information)
  • Researches, evaluates and orders department supplies, tools and resources for planning and execution
  • Organizes and manages fixed assets and product-related inventory
  • Organizes and manages digital assets (photos, videos, documents) and storage options
  • Assists with ad hoc requests for recaps, photos, video, program-related information and results
  • Gathers and shares event based case studies and research including maintaining membership access to industry resources and publications
  • Assists special projects with Consumer Marketing team and across the Sales, Marketing & Communications division
  • Assists with planning meetings with members from multiple departments and external partners
  • Coordinates department meetings, activities and communication channels that assist with team morale, connection, and training and development in hybrid work environment
  • Reviews, routes, and/or responds to internal and external requests and inquiries for team support, sponsorship or partnership
  • Ensures adherence to corporate prototype security policies and procedures
  • Acts as liaison with internal teams, parent company and multiple vendors
  • Provide project support including but not limited to demonstrator pre-show communication, developing demonstrator packets (flight & hotel coordination, show site demonstration locations and break schedule), developing premiums and giveaways
  • May attend events as a demonstrator / support staff and helps with onsite training, or other executional tasks, as needed
  • Coordinates travel arrangements and manages expense reports

SUMMARY OF REQUIREMENTS

  • Must have minimum 3 years of administrative experience
  • Experience working with highly confidential and/or sensitive matters
  • Must have excellent organizational skills and ability to work on multiple projects simultaneously
  • Must work effectively in a high pressure, fast-paced environment with fluctuation priorities and deadlines
  • Strong word processing, spreadsheet, and presentation skills (Word, Excel, Powerpoint)
  • Knowledge of SharePoint, Sketch Up, Photoshop preferred
  • Experience in a marketing environment preferred
  • Undergraduate degree in marketing or related field or equivalent
  • Vocational certification as an executive administrative professional or equivalent preferred
