WHO YOU ARE

As HR Operations Specialist you will be responsible for the administration and coordination of day-to-day human resource operations and programs functions, including onboarding, offboarding, system and HRIS administration, reporting and analytics, special projects, and other HR related programs.

WHAT YOU'LL DO

  • Perform a variety of day-to-day Human Resources transactional functions, including those associated with onboarding, exits, status changes, and other employment actions.
  • Own system maintenance of all HR platforms, including ongoing updates, system connections, and optimization.
  • Process regular HRIS data entry using ADP WFN HRIS.
  • Provide internal and external customer support, escalating issues to HR Operations team as needed.
  • Maintain department online shared folders, forms, supplies, and files. Ensures HR files are created and maintained in compliance with legal requirements and established HR policies and procedures.
  • Assist with the preparation and management of departmental data and analysis, including organizational charts, internal and external reports, and other employment-related information.
  • Participate as a member of HR Operations, attending monthly staff meetings, contributing to annual planning and goal setting process, and ensuring cross-training of payroll related activities with designated team members.
  • Plan, coordinate, and execute employee morale events and gifts (e.g., new hire kits, year-end gifts, employee appreciation, HR Summit, HR quarterly updates, leadership trainings, etc.).
  • Completes special projects as assigned, to include employee file scanning and job descriptions.
  • Backup the Payroll function.
  • May reconcile and pay monthly benefit bills for Health & Welfare plans.
  • May reconcile bi-weekly funding of Retirement plans with Payroll, and Recordkeeper.
  • Lead the company’s wellness initiatives including quarterly newsletter and annual flu shots.
  • Complete employment verifications and unemployment claims. if needed.

WHAT YOU'LL NEED TO BE SUCCESSFUL

  • At least 1-2 years’ experience working as a Human Resource Coordinator or Generalist. Benefits and HRIS administration experience is a strong plus.
  • Demonstrated knowledge and understanding of HR functions, including a familiarity with general HR practices, policies, procedures, and employment laws. HR certification preferred.
  • Strong computer skills with proficiency in the use of Microsoft Office 365 (Outlook, Word, Excel, PowerPoint)
  • Familiarity with HRIS system is desired. Experience with ADP WFN is a strong plus.
  • Excellent verbal and written communication skills, with the ability to demonstrate active listening skills
  • Strong customer skills with the ability to be courteous and diplomatic, as well as interpersonal skills for effectively dealing with employees at all levels within the organization, as well as external vendors

  • Organization skills with the ability to manage time and resources effectively and productively, prioritize workload, and meet deadlines
