Our Facilities and Administration Manager is responsible for office operations in Seattle, San Francisco and other offices in the US. Your main objective will be to ensure all employees have what they need to focus on their work and thrive at HTC. The role is both hands-on and strategic, requiring you to be quick to adapt in our fast-paced and creative setting. Employees and visitors will depend on you to provide an efficient and safe working environment using best practices to manage resources, services and processes. If you enjoy project management, facilities and contract management, and have an eye for detail and a heart for customer service, you will be successful in this role.
Your Impact:
- Acting as the primary contact for building management, contractors, vendors and other service providers to ensure building, equipment and services are maintained in good working order and requests are handled quickly, thoroughly and within budget
- As a working Manager, you will lead a small administrative support team to ensure that all office administration and facilities activities are carefully attended to and delivered with a strong customer service orientation
- Managing shipping, receiving and storage activities, locations and supplies
- Daily maintenance, ordering and stocking of all kitchen & break areas
- Managing front desk & assisting with break coverage for Receptionist
- Back up support for administrative assistants
- Leading & maintaining office security efforts
- Management of health & safety programs for all of the offices
- Maintenance of copier/printer and organization of office supply stations
- Purchasing of office supplies, kitchen needs, office equipment, etc.
- Managing invoices, credit cards and other financial responsibilities
- Assist with internal & external event planning activities, as needed
- Assist with employee onboarding activities related to security, desk set up and building orientation
- Daily support for employee requests
- In collaboration with the Legal team, maintain insurance relationships for the company related to general liability, property and auto
- Support HR and Legal on processing Workers Comp claims when necessary
Your Expertise:
- Gracious customer service orientation
- Lease negotiation experience preferable but not required
- Must be a proactive, flexible and creative problem solver
- Ability to perform event set-up and participation which may occur after or before normal business hours
- Must have excellent verbal, written and listening communication skills
- Proficient in Microsoft Office including PowerPoint, Excel, Word, Outlook
Qualifications:
- Bachelor’s Degree or equivalent work experience
- 3+ years experience of the following:
- In an office manager or like position in a professional services company
- Leading a small team of administrative staff members
- Office building facilities oversight
- Negotiating and administration of service contracts and agreements required.
Physical Requirements/Travel:
- Medium work. Exerting up to 50 pounds of force occasionally, and/or up to 30 pounds of force frequently, and/or up to 10 pounds of force constantly to move objects and may include, stooping, kneeling, reaching, walking, pushing, pulling and lifting.
- 0-5% of local, domestic and/or international travel may be required; must have reliable transportation in order to conduct office related errands and set-up events, as needed.
