The Accounting Operations Manager will be responsible for managing the AR and OM teams as well as administration support for the Revenue and AP teams. The Accounting Operations Manager will report to the Revenue Manager based in the Company’s San Francisco, US office

Primary Responsibilities, but are not limited to:

  • Daily Schedules - review daily work assignments and check completion of work
  • Monthly Service Level Agreements (SLA's) - provide support to the teams to help them meet their deliverables
  • Holiday & PTO backup planning - ensure holidays and PTO does not impact deliverables
  • Monthly pre-close/close - provide support to the teams to ensure a timely and accurate close
  • Team meetings - schedule team meetings and reserve conference rooms
  • Time tracking - review team time tracking and help team manage idle time
  • Quarter end planning - coordinate with the teams on quarter end dates and deliverables
  • System walkthroughs - schedule meetings and reserve conference rooms
  • System testing - monitor completion of testing, coordinating with the team on issues identified during testing, and reporting back to US manager on testing status
  • Process improvement - assist the teams on identifying process improvement opportunities

Administrative Responsibilities, but are not limited to:

  • Support HYD team on equipment needs and desk arrangement
  • Make sure each HYD team member shift attendance and track issues such as late arrivals, early leaves, break times with reasons if not meeting expectation
  • Collecting PTO requests - by email prior to the PTO and calendar planning
  • Approving PTO requests in Workday (CC, OM only)
  • Coordinating with HR on policies and procedures, training, etc. and following through with the team as needed
  • 1n1 meetings with team members (CC, OM only) - individual meetings, twice per month, to discuss performance and well-being in WFH/office
  • Check in meeting with team members (Rev, AP only) - individual, once per month, to check in on well-being in WFH/office
  • Working with the HYD team on Goal setting & development plans
  • Send birthday and Glu anniversary congratulations emails to team members
  • Planning team activities/events for team building and motivation - quarterly dinners, participation in cultural or sports committee activities
  • Monitor HYD team behavior and conduct in the office (with accounting team member or other teams) - report non-professional conduct to HR and US managers
  • Follow through on agreed upon plans for behavioral changes

Provide updates to US manager, but are not limited to:

  • HYD Holiday Calendar & Company events Calendar
  • HR notifications, trainings, events
  • Health of the team (communication and interactions)
  • Goal setting & Development plans
  • Report on HYD team conduct in office, propose solutions for correcting bad behavior, and follow through status
  • Report on PTO requests, shift attendance, and proposals for addressing repeat behaviors

Required/Preferred Experience:

  • Experience working with US companies
  • Strong verbal and writing skills to effectively communicate instructions and information to the teams
  • Experience managing a team of 8-10 people
  • Ability to build and maintain trust with the team
  • MS Excel
  • Accounting or Finance degree
  • Work experience in Accounts Receivable and Accounts Payable
  • Experience with an ERP system (Oracle experience is a plus)
  • Shift time 2 pm to 11 pm
