Facilities Assistant
Codemasters are looking for a capable and organised Assistant to provide support to our facilities, reception and HR teams within this world-famous video games company. Working from our beautiful rural site based in Southam near Leamington Spa, this role is a great opportunity to join a busy team and help us look after our studio across lots of different areas. Itβs an interesting and varied role with lots of interaction with many people so great communication skills and top-notch professional presentation will be key. We also need to undertake many different tasks each day including both routine and ad-hoc enquires, so you will need to thrive on variety and take pride in detailed written, information and data-oriented tasks.
Responsibilities include:
- Facilities
- Undertake Health & Safety checks including a weekly fire alarm test
- Organise work schedules for the team.
- Process cleaning and security overtime.
- Organize training courses
- Filing and general office admin.
- Diarise and ensure PPM is carried out and recorded.
- Procurement of contracts and liaising with contractors.
- Check department invoicing.
- Produce job schedules and costings.
- Organise H&S documentation
- Carry out risk assessments and action plan
- Raise purchase order requests
- Conduct posture assessment at work assessments
- Assist catering department with admin support.
- Manage department credit card
- Hospitality organisation and liaison with customer and catering staff.
- Assist Facilities manager with any projects tasked to the department.
- Working with other studios to ensure facilities requirements are met.
Reception Cover
- To greet all visitors to the company ensuring that visitors badges are prepared.
- To answer incoming calls
- To liaise with Security with regards to unexpected visitors due on to the site, deliveries, collections and general matters in which they need to be informed.
- Sorting and dispatching of incoming mail, franking of outgoing post
- To cover periods of sickness and holiday for the Head Receptionist and carry out associated duties
HR Office Support
- To provide HR Administration support as required under the instruction of the HR Administrator.
- References β providing all company references for leavers, banks, letting agents, etc for employees.
- Organise Long Service Awards
- Scanning of HR documentation and saving to relevant electronic files
