Overview

We're looking for a dependable and motivated Office Assistant who's ready to hit the ground running. You will tackle multiple tasks, projects, and day-to-day priorities in a fast-paced work environment. You will coordinate daily office operations and show initiative when ad-hoc project opportunities arise. The ideal candidate has impeccable organizational skills with solid attention to detail and adapts well to change.

What You'll Be Doing

  • Oversee general office tasks (e.g. mailing, filing, vendor management, pick up/delivery, etc.)
  • Maintain office supplies and inventory of equipment
  • Monitor office operations & respond to employee inquiries on office matters
  • Manage front desk, greet visitors, and answer the phone
  • Open and sort all incoming office mail
  • Assist with planning and executing Company events, (e.g. employee birthdays, office lunches, holiday parties, etc.)
  • Maintain a clean, safe, and well-functioning office
  • Assist with travel arrangements as needed for staff
  • Other duties as assigned

Daily and Monthly Responsibilities

  • Warmly greet visitors to our facility; answer and direct phone calls promptly, fielding solicitors/cold sales calls; and maintain office efficiency arranging necessary repairs
  • Perform a variety of administrative duties, such as generating and distributing memos, letters, spreadsheets, forms, and faxes; and sorting and distributing incoming mail
  • Assist with billing by preparing and sending invoices; maintain client databases; track accounts; oversee the invoice workflow, and assist in copying and distributing production orders and other internal documents as requested
  • Update spreadsheets used by accounting, production, and field services as requested
  • Schedule and track meetings and appointments; and book flights and travel arrangements

Requirements

  • 2+ years in a similar role providing general office support
  • Must possess valid driver's license
  • Have excellent written and verbal communication skills
  • Have a positive can-do attitude and be comfortable interacting with all levels of the business
  • Able to solve problems autonomously, knowing when to ask for help when issues arise
  • Strong organizational and multitasking skills with a keen eye for detail
  • Have a strong work ethic and love being the one to make things run smoothly
  • Team player who can roll up their sleeves to help out where needed
  • Must be able to lift 50lbs
