Provide high-level administrative support by conducting research, preparing statistical reports, handling information requests, and performing clerical functions such as preparing correspondence, receiving visitors, arranging conference calls, and scheduling meetings. Develop and assist with sales proposals. Manage schedules, arrange assignments and communicate progress to all team members.

OVERVIEW:

  • Coordinate executive communications, including taking calls, responding to emails and interfacing with clients.
  • Prepare internal and external corporate documents for team members and industry partners.

JOB FUNCTIONS:

  • Performing clerical duties, taking memos, maintaining files, and organizing documents. Photocopying, faxing, collating, etc.
  • Building and assisting with sales proposals and presentations.
  • Sitting in on and providing written recaps for vital organization meetings.
  • Arranges travel, accommodation, itineraries, and all correspondence related to arrangements as needed.
  • Plans/organizes and implements events such as meeting,s business luncheons, or client dinners.
  • Screen incoming calls and visitors for the CEO.
  • Manages executive and administrative schedules and acts as a liaison for the administrative team.
  • Prepares reports, presentations, and data, as well as maintaining files, records, and correspondence for meetings
  • Handles confidential information; organizes and maintains files.
  • Prepares information and research for executive needs.
  • May help plan company events, meetings, and employee team building activities or special projects.
  • Schedule regular meetings and record decisions (e.g. assigned tasks and next step)
  • Break projects into doable tasks and set timeframes and goals.
  • Prepare and provide documentation to internal teams and key stakeholders.
  • Order resources like equipment and software
  • Retrieve necessary information (e.g. user.client requirements and relevant case studies).
  • Track expenses and predict future costs.
  • Monitor project progress and address potential issues.
  • Coordinate quality controls to ensure deliverables meet requirements.
  • Measure and report on project performance.

WORKING CONDITIONS:

  • General working hours are 40-50 hours a week with limited absences/tardiness. (Additional hours as required to complete objectives. Attend community and Axis Replay events. Attend occasional webinars and training.)
  • Delivering on all Axis Replay principles, vision, and mission.
  • Appropriate casual attire.

QUALIFICATIONS:

  • Strong oral and written communication skills
  • Experience with providing administrative support in a fast-paced environment.
  • Experience with event planning and execution.
  • Knowledge of sales and building sales proposals.
  • Experience with presenting to key stakeholders of an organization.
  • Passion for gaming.

BONUS:

  • Proficiency in Adobe Suite (Illustrator, InDesign, Photoshop)
  • Proficiency in creating presentations utilizing Powerpoint and Google Presentations.
